Challenge
An engineering and testing firm utilized paper-based forms in the field to complete their inspections. Large amounts of time were wasted filling in over 400 fields of data on 7 forms by hand in the field. The completed inspection forms would have to wait until the worker returned to the office to be hand-entered into the system by one of the assistants. This not only delayed the process of submitting the data into the system, but also delayed submitting the inspection results to their customers in a reasonable time period. In addition to this, the only way to communicate to the worker in the field about a new work order or to find out their location required multiple time consuming calls.
Solution
The Company utilized Agilis’ software to create a seamless solution for their mobile workers and office staff. They created multiple forms using SmartFORMS™ for capturing data in the field that is then real time transmitted back to the office eliminating the need for paperwork in the field and hand-entering into the system back at the office. Agilis also mapped the data captured in the field to electronic templates based on the company's existing forms. Upon completion of a survey, the captured data is transmitted and overlaid onto the templates allowing for immediate printing of the inspection form for the customer. They also has the capability to now locate their workers with GPS tracking in order to designate the closest worker to a jobsite and to also simultaneously transmit work orders and job details to the worker without ever making a call.
Results
Now with the new Agilis MRM software, the company's customers receive completed inspection forms within hours of completion as compared to over a week before. Productivity has increased in the field as well as in the office allowing them to decrease operating expenses. Agilis was able to transfer data from the field into their existing forms, a feature that when given the opportunity Telenav could not perform.
